Role Overview
We are seeking a highly organized and proactive Personal Assistant to support the clinic’s online operations and cross-location coordination. You will play a central role in managing communication, scheduling, and client relations for clinics based in Lagos and London.
Key Responsibilities
🗣 Client Communication

Respond to phone calls, emails, and social media messages promptly and professionally

Provide accurate information on services, pricing, and booking procedures

Maintain a courteous, customer-friendly tone in all interactions
📅 Scheduling & Appointment Management
-
Book and confirm appointments across platforms (phone, email, social media)
-
Manage clinic calendars for all locations
-
Coordinate with clinic teams to ensure staff availability
-
Send reminders and follow-ups to clients pre- and post-treatment
🤝 Coordination & Liaison
-
Serve as the bridge between clients, staff, and management
-
Relay client feedback and special requests to relevant team members
-
Facilitate seamless communication between Lagos and London teams
📲 Online & Social Media Support

Monitor social media channels for inquiries and feedback

Assist in managing the content calendar and engagement reports

Share insights on common client questions to enhance digital strategy
🗂 Data & Record Management

Maintain accurate client records, schedules, and interaction logs

Generate reports on appointments, inquiries, and client feedback
🧾 Administrative Support

Prepare appointment lists, update client information, and organize documentation

Support logistics for promotions, events, or clinic campaigns
Requirements

Proven experience in administrative roles, preferably in healthcare, wellness, or beauty

Excellent verbal and written communication skills

Highly organized with keen attention to detail

Proficient in social media, messaging apps, and tools like Excel, Google Sheets, and CRMs
-
Strong multitasking and prioritization abilities

Friendly, professional, and client-focused demeanor

Discreet in handling confidential client information

Flexible with time zones and scheduling needs (Lagos & London)

Experience in aesthetics or skincare is a plus but not mandatory
