About the Role

This is more than a scheduling job—you’ll be the right hand to top executives, ensuring their time, priorities, and communications are aligned for maximum impact. Responsibilities

Manage executive calendars, meetings, and daily logistics
Draft emails, prep documents, and communicate professionally across all channels
Coordinate client meetings, production timelines, and creative deliverables
Book travel, manage itineraries, and support event planning
Stay two steps ahead—anticipate needs and prevent delays
Track deadlines, action points, and follow-ups across departments
Handle confidential info with discretion and professionalism

Requirements

2+ years in executive support, admin, or operations (media/creative background is a plus)
Excellent written and verbal communication skills
Hyper-organized, proactive, and detail-driven
Familiarity with Google Workspace, Slack, Zoom, Notion, Trello, or similar tools
Flexible, calm under pressure, and thrives in fast-changing environments
A sense of humor and passion for media, branding, and storytelling

Bonus Points

Experience supporting senior executives in a creative or agency setting
Comfortable sitting in on meetings and capturing next steps/action points
Familiarity with agency life or client service
